What each team does

1. PROGRAMME TEAM


1a.    WUPA World Forum Mediator

  • Host biweekly Skype meetups for Buddies to discuss world issues. 

  • Generate topics for discussion and prepare educational slides to introduce the topic.

  • Prepare promotion materials and registration logistics for each forum. 

  • Facilitate and curate the forums for Buddies to discuss world issues harmoniously. 

1b.    WUPA Travelgram Mediator

  • Host biweekly Skype meetups for Buddies to share travel experiences. 

  • Contact Buddies via WhatsApp to be Speakers and brief them on the preparation of travel photo slides.

  • Prepare promotion materials and registration logistics for each sharing. 

  • Curate the sharing sessions for Buddies, including facilitating mini games. 

  • Develop a Travelgram website for Buddies to upload travel photos. 

1c.    WUPA Mini TED Talk Mediator

  • Host biweekly Skype meetups for Buddies to give speeches on their life experiences.  

  • Contact Buddies via WhatsApp to be Speakers and brief them on the preparation of the script. 

  • Prepare promotion materials and registration logistics for each talk. 

  • Mediate the talks as an emcee. 

 

1d.    WUPA Skillshare Mediator

  • Host biweekly Skype meetups for Buddies to hold fun or serious skill-sharing workshops or performances.

  • Contact Buddies via WhatsApp to be Speakers and brief them on the preparation of the workshops. 

  • Prepare promotion materials and registration logistics for each talk. 

  • Mediate the workshops as an emcee. 

1e.    WUPA Effective Altruism Community Mediator

  • Facilitate WUPA EA WhatsApp group and share educational EA materials with Buddies regularly. 

  • Invite external Speakers and host Skype meetups for Buddies to understand EA. 

  • Prepare promotion materials and registration logistics for each meetup. 

  • Mediate the meetups as an emcee. 

1f.    WUPA Advice Table Mediator

  • Lead chat groups (each with 3-5 Buddies) as a “peer counsellor” to maintain a good atmosphere for Buddies to share their troubles and support each other.

  • Host weekly meetups with the group.

  • Share inspirational materials in the chat group with Buddies regularly.

2. OUTREACH TEAM

 

  • Gather contacts of university offices and youth organizations

  • Our Communications Team's automatic email sender will draw information from the database and send the emails.

  • (optional) Liaise with universities and reply their enquiry emails.

  • (optional) Reaching out to youth organizations through emails, Facebook/ LinkedIn messages or explain our programmes to them through Skype meetings.

3. PUBLIC RELATIONS TEAM

  • Drafting articles, newsletters, partnerships emails and publication materials

  • Approaching the different organizations for 4 types of partnerships: 

    • 1) Dissemination of our programme (to their members) (or through their promotion channels) 

    • 2) Media exposure (online media, blogs & news agencies)

    • 3) Sponsorship

    • 4) Possible Programme Collaboration

 

Core Members (1-2 hours/ day)

  • Be responsive on WhatsApp - should not leave a message unreplied for longer than 1 day.

  • Should not forget to watch Monday Update Videos for more than 3 times. 

  • Should not be absent from “Monthly Creativity Meeting” 

  • Should actively join “Thank-you Fridays” and “Achievement Wednesdays”

  • Should be able to commit 1-2 hours a day

  • Should not be late for deadlines for more than 2 times. Otherwise, please don’t set a deadline you can’t meet at first, or be a non-core member. 

 

Non-core Members (Weekends only)

  • Be responsive on WhatsApp - should not leave a message unreplied for longer than 2 days. If you’re busy, please say that you will reply later. 

  • Should not forget to watch Monday Update Videos for more than 3 times. 

  • Should actively join “Thank-you Fridays” and “Achievement Wednesdays”

  • “Monthly Creativity Meeting” are optional

  • Should be able to commit 1-2 hours on weekends. 

  • Should not be late for deadlines for more than 2 times. Otherwise, please don’t set a deadline you can’t meet at first, or be a volunteer. 

4. SOCIAL MEDIA TEAM

  • Content Creation: write promotional materials and design posts

  • Manage social media pages, including Facebook, Instagram, LinkedIn, Weibo, Youtube etc.

  • Manage WhatsApp subscription channel

 

5. DESIGN TEAM

  • Videography - promotion videos; or

  • Graphic Design - Brochures, publications, infographics

 

6. TRANSLATION TEAM

 

Translation of website content and (optional) promotion publications. 

We currently already have Chinese, English, German, French, Vietnamese, Hindi, Japanese and Spanish translation completed. 

 

7. CONTENT RESEARCH TEAM

 

  • Prepare educational programme materials, such as Conversation Starters for Buddies, Fun Facts for Different Countries, Ways for Effective Cross-Cultural Communications, What is Effective Altruism, etc.

  • Research on global citizenship education resources to enrich Buddies' knowledge and horizons, such as volunteering and donation opportunities, ways to do good etc. 

8. THINK TANK

  • Devise frameworks based on academic research to advise  WUPA's strategic planning as well as programme and organization development. 

9. WEB DEVELOPMENT AND PROGRAMMING TEAM

 

  • Back-end Web Development (database, programming, automatic email sender, email domain)

  • Programming - automation of email communications and buddy pairing 

 


10. WEB DESIGN AND MANAGEMENT TEAM

  • Front-end Web Development: manage and update WUPA's website using Wordpress

  • Improve the website's UX/UI Design

 

11. OPERATIONS TEAM

  • Operations Manager: Applications, pairing Buddies, welcoming and briefing Buddies, following up on their scheduling, asking for feedback, handling inquiries

  • Financial Officer: Accounting and bookkeeping of WUPA expenses, verify Buddies’ Acts of Kindness proofs and update databases

12. LEGAL TEAM

  •  Drafting legal documents, such as WUPA's Articles of Association, Terms and Conditions, Privacy Policy, Declaration, Codes of Conduct etc. 

  • Devise plans for legal risk management

13. MANAGEMENT TEAM

  • Direct and devise plans for WUPA's development in weekly meeting

  • Lead and follow-up with each team

  • Ready to work on impromptu tasks

  • Quality check: Review, edit and comment on publications

  • Turn Monthly Creative Meeting ideas into actions. 

Non-core Members (0.5 hour/ day)

  • Be responsive on WhatsApp - should not leave a message unreplied for longer than 1 day.

  • Should not forget to watch Monday Update Videos for more than 3 times. 

  • Should actively join“Monthly Creativity Meeting”, “Thank-you Fridays” and “Achievement Wednesdays”

  • Should be able to commit 0.5 hours a day

  • “Monthly Creativity Meeting” are optional

  • Should not be late for deadlines for more than 2 times. Otherwise, please don’t set a deadline you can’t meet at first, or be a non-core member (weekends). 

Volunteer (Task-based)

  • Be responsive on WhatsApp - should not leave a message unreplied for longer than 1 day. If you’re busy, please say that you will reply later. 

  • Monday Update Videos are optional. 

  • “Monthly Creativity Meeting”, “Thank-you Fridays” and “Achievement Wednesdays” are optional. 

  • You are welcome to join our face-to-face meetups or social gatherings. 

  • Advisor meetings and training sessions are for core/ non-core members only. 

  • Should not be late for deadlines for more than 2 times. Otherwise, please don’t set a deadline you can’t meet at first, or reconsider your choice joining WUPA.

  • Commitment - flexible, based on the tasks’ needs.
